Job Title: Travel Operations Specialist
Department: Travel / Operations
Location: Saudi Arabia
Reports To: Travel Operations Manager / Operations Manager

Job Summary
The Travel Operations Specialist is responsible for managing and coordinating day-to-day travel operations, ensuring smooth delivery of travel services, reservations, itineraries, transportation, accommodation, and customer support. The role requires strong organizational skills, attention to detail, supplier coordination, and the ability to resolve travel-related issues efficiently.
Key Responsibilities
• Manage end-to-end travel arrangements including flight bookings, hotel reservations, transportation, transfers, and travel itineraries.
• Coordinate domestic and international travel arrangements based on client or company requirements.
• Process and manage reservations, ticketing, amendments, cancellations, refunds, and rebooking.
• Prepare detailed travel itineraries and ensure all arrangements are confirmed prior to travel.
• Coordinate with airlines, hotels, transportation providers, travel agencies, and other suppliers.
• Monitor flight schedules, delays, cancellations, and other travel disruptions and arrange suitable alternatives.
• Handle customer inquiries and provide timely assistance before, during, and after travel.
• Ensure travel documentation, booking information, and passenger details are accurate and up to date.
• Negotiate with travel suppliers where applicable to obtain competitive rates and suitable terms.
• Monitor travel costs and ensure bookings are made within approved budgets and company policies.
• Maintain accurate records of bookings, invoices, tickets, vouchers, and travel-related documentation.
• Coordinate with Finance regarding invoices, payments, refunds, and reconciliation of travel expenses.
• Support corporate travel programs and ensure compliance with company travel policies.
• Prepare operational reports related to bookings, costs, cancellations, and travel activity.
• Maintain strong relationships with travel suppliers and service providers.
• Resolve customer complaints and operational issues professionally and promptly.
• Identify opportunities to improve travel processes, service quality, and operational efficiency.
• Ensure compliance with applicable travel regulations, company policies, and industry standards.
Requirements
• Bachelor's degree or diploma in Travel & Tourism, Hospitality, Business Administration, or a related field.
• 3–5 years of experience in travel operations, corporate travel, tourism, or a travel agency environment.
• Strong knowledge of airline reservations, hotel bookings, ticketing, and travel coordination.
• Experience with GDS systems such as Amadeus, Sabre, or Galileo is preferred.
• Good knowledge of domestic and international travel procedures.
• Strong communication and customer service skills.
• Excellent organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Good negotiation, problem-solving, and coordination skills.
• Proficiency in MS Office, particularly Excel and Outlook.
• Ability to work under pressure and manage multiple bookings and priorities simultaneously.
• Good command of English; Arabic is an advantage.
