Project Document Controller – Construction Site

Description
A construction company is seeking an experienced Project Document Controller to work full-time at one of its project sites. The selected candidate will be responsible for controlling, tracking, distributing, and maintaining all project documents and correspondence in accordance with company procedures and client/consultant requirements.
>>Key Responsibilities:
• Receive, register, classify, distribute, and archive all project documents and correspondence.
• Control formal communication between the company, client, consultant, subcontractors, and suppliers.
• Prepare and maintain document registers, including:
• Shop Drawings
• Work Inspection Requests (WIRs)
• Material Inspection Requests (MIRs)
• Requests for Information (RFIs)
• Material Submittals
• Method Statements
• Non-Conformance Reports (NCRs)
• Site instructions, technical reports, and correspondence
• Track document status, including under review, approved, approved with comments, rejected, and resubmission required.
• Ensure that only the latest approved drawings, specifications, and documents are available and used at the site.
• Withdraw superseded documents and prevent outdated revisions from being used by construction teams.
• Distribute approved documents to the concerned engineers and departments while maintaining complete distribution records.
• Coordinate daily with the Project Manager, site engineers, QA/QC, Planning, Contracts, Procurement, and other departments.
• Follow up on overdue submissions and approvals and issue periodic document-status reports.
• Maintain an organized and easily retrievable electronic and hard-copy filing system.
• Apply consistent numbering and coding systems for letters, forms, reports, drawings, and other project documents.
• Compile and organize documents required for progress payments, preliminary handover, final handover, and project closeout.
• Maintain document confidentiality and prevent unauthorized access, circulation, or modification.
• Comply with the company’s document-control procedures, approval cycles, administrative instructions, and established workflows.
>>Qualifications and Experience:
• Diploma or bachelor’s degree in Business Administration, Engineering, or a related field.
• Minimum 3–5 years of document-control experience in construction projects.
• Good understanding of construction documents and submission, review, approval, revision, and distribution cycles.
• Experience with EDMS platforms such as Aconex, SharePoint, or similar systems.
• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
• Ability to prepare accurate tracking logs and clear periodic reports.
• Strong organizational, follow-up, communication, and time-management skills.
• Good command of English is required; Arabic is an advantage.
• Previous experience in Saudi Arabia or the GCC is preferred.
• Willingness and ability to work full-time at the project site.
The ideal candidate must be accurate, well-organized, and capable of controlling a high volume of project documents without delay or loss. The candidate must ensure that the correct information and latest approved revisions reach the relevant team members on time.
